    The Manager, Conferences & Events will be responsible for assisting in the planning, coordination and execution of events for the firm’s family of companies, including sales meetings, client entertainment events, executive meetings and dinners, holiday parties, training seminars and employee appreciation events.

    Responsibilities

    Conferences

    • Assist in developing and managing online conferences attendance request from
    • Mange submissions of conference requests and determine benefits of participation to obtain approval
    • Assist in all aspects of conference planning including conference strategy, managing timelines, sponsorships, registrations, collateral and premiums, shipping, and follow up
    • Manage conference meeting space including set up and catering. Manage originator and executive meeting schedules
    • Research hotel options, book and manage hotel reservations
    • Research dinner and reception venues. Plan menus and entertainment and assist in all creative aspects including invitations, venue set up and décor
    • Manage conference attendee lists, dividing based on Salesforce, for use for direct email outreach to garner meetings for new business and to nurture existing relationships
    • Track and report on ROI for conference participation
    • Maintain conferences budgets
    • Research new potential conferences specific to areas of business relevant to the firm such as Multifamily, Senior Housing, Health Care and Arbor Crowd
    • Manage corporate and individual association memberships

     

     

    Events

    • Assist in the planning, coordination and execution of events for the firm’s family of companies, including sales meetings, client entertainment events, executive meetings and dinners, holiday parties, training seminars and employee appreciation events
    • Assist with the planning and execution of Arbor’s annual Chairman-sponsored sales event
    • Provide general and granular level support to the sales team; inclusive of client services (i.e. gift research and ordering), conference research and registration, high-level events communications, and assistance with organized dinners, events or outings
    • Provide customized events support as directed by the EVP, Marketing and the AVP, Corporate Events and Conferences, including but not limited to creative support
    • Assist with the research of hotels and meeting spaces for events

     

    Other

    • Approve business card orders for all employees
    • Track and report Originator Expenses including conference, membership, gift and other expenses
    • Research, order and track inventory of premium items for conferences, events, trainings and Corporate Culture initiatives
    • Send out Conferences and Events email highlighting all upcoming conferences and events to all employees at the beginning of each month
    • Track and report Originator Training including all conference and training hours
    • Maintain conferences and events page on Arbor Xchange, including all conferences we are participating in or ones that may be of interest
    • Manage and reconcile conference credit card

    Qualifications

    Experience: Minimum of 3-5 years’ of industry experience. Certified Event Planning certificate is a plus, but not mandatory.

     

    Knowledge/Skills/Abilities:

     

    • Proficient in Microsoft Excel, PowerPoint and Word
    • Excellent written and verbal communication skills
    • Extremely detail oriented
    • Strong interpersonal skills, high energy, creativity and be highly motivated
    • Must be able to work collaboratively as well as independently

     

    Travel: Up to 15%
